General Data Retention and Privacy Policies


1. What information does Regie.ai collect?


In Short: We only collect personal information of prospects (email addresses) that you provide to us. Additionally, the data we use to present your company/product/service is configured and provided by you or any Admin User in your Regie.ai account. 



2. How long is prospect Personalization data retained in Regie?


In Short: The data we retrieve from our enrichment providers listed in the sub-processor list is stored in Regie for 30 days, and then automatically deleted. The “enriched prospect data” used for Personalization includes personality/communication data, email addresses, LinkedIn work and volunteering history, and company job posting data. 


The data retention policy for our AI provider listed in our sub-processor list states that they will only retain prompt data for up to 30 days, for abuse and misuse monitoring purposes only.


The data we use to present your company/product/service is configured by you in your account, and would be deleted with it. This would include company information, product or service information, and anything else used to build email communications.


3. How long do we keep your information?


In Short: You can modify any and all value propositions and pain points stored to Regie. This information is provided by you, the User, and as such, have the ability to configure Value Propositions and Pain Points to suit your preferences at any time. This information will be retained by Regie until the user decides to make changes or opts to terminate the account. 


Additionally, any and all data used to suggest your products and services to prospects is configured by you and can be easily modified if there is a need to update the data. Your product and services data is not retained by Regie.



Salesforce Integration Data Retention Policies

‍1. What data does Regie.ai place into Salesforce?


a. Regie.ai will install some fields onto the salesforce activity and the Regie will write in the values for regie-driven data in there:

  • The value prop and pain point used to generate the email
  • The persona we detected on the contact
  • Whether regie was used, and how, in creating that email 


2. What data do we need Outreach to place into Salesforce?


a. We need the sequence ID and the message ID for messages.  


3. What information does Regie.ai collect and how is it collected?


In Short: We have four systems that interact with salesforce – one gets job title and account industry data from salesforce to build buyer personas. The second gets a field as data to use in personalization. The third is used in audience expansion, to generate more prospects. The last gets meetings for accounts, and opportunity amounts for them, to track whether emails generate meetings and deals.


  • In the first, we get job title, and industry data for recent meetings. This is used to provide suggestions to the personas in Regie. The source data is retained for 30 days in logs, then permanently deleted. The suggestions which are the aggregates of this data (e.g. you should add this job title to persona A) are retained until used or removed by the admin. This process only runs when the admin request it.
  • The second process fetches all the field data for the prospect’s contact or lead record, looked up by email address. This only happens if a user clicks the “CRM” pill on the prospect enrichment window. This will first fetch the items in the page layout, then all field data for the prospect. This is done to allow the user to pick a field and use the field name and value in the personalization.


The third, if enabled has two modes:

  • When configured to get contacts outside current accounts, it gets title, industry, and company size data from contacts in the provided list. This is retained in logs for 30 days, to generate generic titles, industry choices, and sizes of companies. Then this is used to generate the lookalike audience of target prospects. This list of target prospects sourced from a data vendor contracted by Regie is sorted by email domain. Then the domains that match an account list provided by the user is removed, for instance so that you can remove existing customers from prospecting.
  • The second mode is account-based and uses no contact information from salesforce. Accounts in the chosen list are fetched, and the account domain used. Data is not stored, and will only be retained in logs for 30 days.
  • Email subject lines, and the data written in 1a, to get aggregate statistics on messaging effectiveness. This gets meetings in the last 2 week, and can link them to email activity directly preceding timeframe for messages sent by regie. Then since there is no direct link from a mail to a deal, this links the message to the account, and the account to opportunity data. This is used to present the sequence metrics, and break down sequence performance and per-value-prop performance. 


3. How long do we keep Salesforce information in Regie?


  • In Short: The data we retrieve on job titles and industries is cached in Regie for 30 days, and then automatically deleted. The resulting aggregated changes – sample popular job titles – are retained until used.


  • The salesforce field data if selected is held in logs for 30 days, and deleted. The data is not retained or saved. If it’s used in the email, it will be retained wherever the email body is retained.


  • The salesforce contact and/or account list for audience expansion is not stored, and held only in logs, and deleted after 30 days.


  • Salesforce data used to build reports will be retained until the connection is disconnected, or the regie account closed. This is to present historical data, and not double-count meetings or deals, and incorporate changes in deal amounts.
